  • Expect the best, but prepare for the worst because technology is imperfect. Also, if you must resort to using your message via email, make sure to remind those in attendance what page you’re on so they can follow along.
  • Prepare the conference room and make sure there’s a good phone with a speaker available there. Test the phone and any other media you’re going to use some time before the day of your meeting.
  • As a host you’ll want to dial in and start the conference five to ten minutes before the meeting time. Then, as each person enters the call, be sure to welcome them by name, and check their name off on an attendance list so you know who’s there. Also, take a moment to make sure they’ve received the information you emailed them before the call. They should have it open on their computer while attending the call.
  • Make sure that everyone’s phone is on mute, but not on hold as this can cause everyone to hear loud hold music. If someone is using their cell phone, they also need to stay away from it to prevent a loud buzzing noise from happening. This does away with any background noise. They can then un-mute their phone when they have something they’d like to ask or a comment they’d like to make.
  • Not only do you need to present people with their names when they have questions or comments, but they need to speak loud and clear.
